Free and Starter are designed for one person. Pro and Business support paid workspace seats for teams that need shared content, account coverage, and administration.
The roles
Owner
The owner controls the workspace and its most sensitive settings. Owner-only actions include billing ownership, custom-domain management, and workspace API-token management.
Keep ownership with a person who can manage the company account over time. Do not use a temporary contractor or shared inbox unless your organization has a clear access process.
Admin
Admins help manage members, content, and supported integrations. They can see more workspace content than a regular member but do not replace the owner for owner-only actions.
Member
Members work with their own documents and team-shared material. A member does not automatically see another member’s private documents.
Invite a teammate
- Open Workspace.
- Review the available paid seats.
- Invite the person by their work email.
- Assign the lowest role that covers their responsibilities.
- Ask them to accept the invitation from the intended email account.
If there is no available seat, update the subscription before inviting another paid member.
Document visibility
Owners and admins can manage all team documents. Members see their own private documents and documents shared with the team. Team folders are for reusable workspace material. Private folders remain personal.

Review access when responsibilities change
Remove former members promptly. Before transferring ownership or removing an active seller, review private documents, Rooms, recipient links, and integration ownership that the team still needs.
Roles govern workspace access. Recipient Share Links and Room links use their own access modes and do not make an external viewer a workspace member.
