Bulk-generate personalized document links

Import contacts or companies from CSV or Close, create a separate tracked document link for each recipient, and export the finished links for your sending workflow.

Bulk Link Generation creates a separate Personal link for every contact or company in a list. Each URL points to the same document, but engagement stays attributed to its intended recipient or account.

Use it when one shared campaign URL would hide who actually opened and read the document.

Start from the document

  1. Open the document from Document Library.
  2. Open the menu beside Generate Link.
  3. Select Generate Batch.
  4. Choose whether each row represents a Contact or a Company.
  5. Choose a CSV file, or select Close if the workspace has an eligible Close integration.

The selected document is used for every link in the batch. Repeat the workflow from another document when a sequence needs separate links for a case study, proposal, pricing pack, or other asset.

Prepare a CSV

The first row should contain column names. Keep one intended recipient or company per row. A batch can contain up to 1,000 rows, although the workspace plan’s remaining per-document link allowance may be lower.

For Contacts:

  • map either First Name or Full Name;
  • add Email whenever possible;
  • Last Name and Company Name are optional.

For Companies:

  • Company Name is required;
  • Domain or Website is optional.

HummingDeck detects common column names and shows a preview. Review every mapping before continuing. Unneeded columns can be set to Ignore.

Before generating, choose the settings that should apply to the batch:

  • email view notifications;
  • Slack view notifications when Slack is connected;
  • recipient downloads;
  • link expiration.

Some controls depend on the workspace plan. For a large campaign, leave view notifications off unless each individual open is actionable. The Activity feed and Analytics provide a quieter way to review the batch.

Select Generate links after checking the row count and settings. HummingDeck creates or matches the relevant Contacts or Companies and connects each new link to that record.

Export the results

After generation, review the number of links created and any rows that failed. You can:

  • download the original CSV with a Share Link column added;
  • copy all generated URLs to the clipboard;
  • use the enriched CSV in an email sequence, CRM import, mail merge, or another approved sending tool.

Keep each generated URL on its original row. Moving one person’s URL onto another person’s message weakens attribution, even though the link may still open.

Import from Close

When Close is connected and the workspace has the required integration access, choose a Close Smart View instead of uploading a CSV. HummingDeck can generate links from the selected leads or contacts, sync engagement, and write each URL to a chosen Close custom field.

Review the custom field before generating. Writing links can replace values already stored in that field.

Sales and non-sales uses

  • Give each prospect in an outreach or follow-up sequence a separately attributed deck.
  • Share investor updates or fundraising material with one link per person or firm.
  • Distribute recruiting, candidate, or employee material with individual engagement context.
  • Send partner onboarding, training, event follow-up, or customer education content to a prepared list.

When to use the API instead

CSV generation is the simpler option for an occasional campaign or a list prepared by a person. Use the API when an internal system must create links repeatedly, generate them as part of another workflow, or keep recipient data synchronized without manual CSV exports.
