Companies and Contacts turn isolated document views into account history. A company represents the organization. A contact represents a person. Connect them to links and Rooms when you want engagement to stay attached to the relationship.

Create records while sharing
You do not need to build the whole account database before sending a document. When creating a Personal link or Room link, select an existing contact or add the recipient details. HummingDeck can connect the sharing context to the company and contact as part of the workflow.
Use a consistent company name and the recipient’s real work email when available. Duplicate or vague records make later analytics harder to read.
What the records collect
A contact or company detail page can bring together:
- active and historical document links;
- Room participation;
- views and engagement sessions;
- proposal decisions;
- recent activity across the account.
This is especially useful when a teammate takes over the relationship or when several stakeholders engage with different material.
Move from captured interest to a known contact
Lead Magnet documents and email-gated Rooms place new addresses in Captured Leads. Review them there before adding relevant people to Contacts. An email entered through an Ask gate is self-reported, while Verify provides stronger inbox evidence. Neither proves the person’s role or decision authority.

Use records in Pipeline
Pipeline organizes companies or contacts by document engagement and your manual process stages. Company cards combine activity across their contacts. Contact cards move independently, which is useful when several people at one account have different roles or next steps.
Importing records
Bulk import is useful when you already have a prepared recipient list and need to create many personalized links or account records.
Clean the source data first:
- use one person per row;
- normalize company names;
- remove obvious duplicates;
- confirm email spelling;
- avoid importing fields you will not use.
Start with a small batch. Check the resulting companies, contacts, and links before processing the full list.
Keep company domains accurate
A company domain helps organize and enrich the account. In Restricted Room access, an allowed-domain rule is a separate access control. Adding acme.com to a company record does not automatically allow every Acme address into every Room.
Delete or merge carefully
Before removing a record, review its links, Rooms, and activity. The goal is to preserve a useful engagement history without keeping duplicate or misleading identities.
