HummingDeck for HR & Recruiting

A private room for every candidate and employee

Create branded portals for offer letters, onboarding docs, and policy acknowledgments. Track what gets read. Capture documented approvals.

Sound familiar?

Sent the offer letter. Waiting in the dark.

You email the offer as a PDF attachment. Did they open it? Did they read the comp section? Did they forward it to their partner? You have no idea — just silence.

Onboarding is a black box.

You send the handbook on day one. The new hire says "got it." But did they actually read the remote work policy? The benefits enrollment guide? You'll never know.

Policy acknowledgment theater.

You blast the updated policy to the whole team. Everyone clicks "I agree" without reading it. If there's ever an audit, all you have is a checkbox.

Create a private, branded portal for each candidate. Add the offer letter, benefits overview, culture deck, and team intro — all in one room. The candidate opens one link and has everything they need to make a decision.

  • Multi-document room with one shareable link
  • Branded portal with your company logo
  • Accept / Decline built right into the offer
  • Per-document engagement tracking

Document Decisions

Replace "got it" with a documented decision

Candidates accept offers and employees acknowledge policies — directly inside the document. Every response is timestamped with engagement context, giving you a clear record for compliance.

  • Accept / Request changes / Decline — right in the viewer
  • Decision notes attached to every response
  • Timestamped audit trail for compliance

Candidates and employees see this inside every document

A recruiter's week with Candidate Rooms

Day 1

Create the Candidate Room

You add the offer letter, benefits summary, culture deck, and team intro video. Send one link to the candidate.

Day 2

The candidate engages

They open at 8:47 AM. Spend 6 minutes on compensation, skim the culture deck, and re-read the benefits page twice. You see it all in real time.

Day 3

They share it

A new viewer opens the room from a different city. The candidate's partner or advisor is reviewing the offer. You know exactly which sections they focused on.

Day 4

The candidate accepts

They hit "Accept" with a note: "Start date works. Looking forward to it." You get a notification instantly. The audit trail is already documented.

Frequently asked questions

Do candidates or employees need to create an account?
No. They receive a link and can view the room immediately — no signup, no app install, no friction.
What's the difference between a Candidate Room and an Employee Room?
They use the same technology — a private, branded portal with multiple documents. A Candidate Room typically contains offer letters, benefits overviews, and company info. An Employee Room is for onboarding docs, handbooks, policies, and training materials. You can use rooms for any purpose.
How is this different from our HRIS or ATS?
Your HRIS confirms a document was sent. HummingDeck shows you what was actually read — which sections, for how long, and whether the recipient approved or requested changes. It works alongside your existing tools.
What about sensitive documents like offer letters?
HummingDeck supports email verification for viewers, link expiration, access revocation, and encryption in transit. You control who can access your documents and for how long.
What file formats are supported?
PDF, PowerPoint (PPTX), Word (DOCX), HTML, and Google Docs (imported and converted to PDF). Most common business document formats are supported.
Can we use our own domain?
Yes. Custom domains are available on the Business plan. Your shared links will use your company's domain instead of hummingdeck.com.
