How to share files with clients using one link

Group your documents in one HummingDeck Room, send your client a single link, and review recorded document activity.

Before you start

  • You need a HummingDeck account, the files you want to share, and your client's company, name, and email. Upload PDF, PowerPoint, Word, Excel, or HTML files up to 100 MB each. ZIP uploads of HTML sites start on Starter.
  • Rooms are available on every plan. Free includes one active Room with up to three documents and three Room links. Starter includes three active Rooms, five documents per Room, and ten Room links. Page-level document analytics start on Starter, the plan used in the video.
  • The video uses Anyone with the link, so your client opens the Room in a browser without a HummingDeck account. Activity is associated with the link's intended recipient; a forwarded link records activity under the same link. For entry through an approved, verified inbox, choose Restricted on Pro or Business.

Follow the steps

  1. Upload your documents

    Open your Library, choose Add document, and select the files you want to share. The example uses a proposal, a price sheet, and a case study. Wait for processing to finish before adding them to the Room.

  2. Create a Room for the client

    Open Rooms, choose New Room, and name it for the deal. Under Recipient, choose Company and select or add your client's company, then create the Room. This groups the documents and their audience links in one destination.

  3. Add documents in reading order

    In the Room, choose Add Document and add the proposal, price sheet, and case study from your Library. Arrange them in the order your client should see them. Keep the number of documents within your plan's per-Room limit.

  4. Create a link for your client

    Choose Create share link, select Contact, and enter your client's name and email. Generate the link. Create a separate Room link for each person when you want to compare their recorded activity. Entering a recipient's details labels the link; it does not send an email.

  5. Send the link and check the client experience

    Copy the URL and paste it into your email or chat message. Your client opens the Room, chooses a document, and returns with Back to Deal Room to open the next one. For the access mode shown, no HummingDeck account is required.

  6. Review recorded document activity

    Return to the Room's Activity tab and open the client's visit. Check Visited Documents to see which documents were opened, their recorded duration, and recorded completion. Recent Room activity is available on every plan; page-level document analytics start on Starter. These are engagement signals associated with the link, not proof of who read the files or what they understood.

  7. Add next steps, a video, or a calendar

    Use Next Steps for the plan both sides need to follow. Add a Media tab for an embedded video or a Let's meet tab for a booking calendar, as shown at the end of the video. Test each embed in the recipient preview before sharing the Room.

Here's how to send your proposal, price sheet and case study in one link, then see which documents get opened. Your client gets one link with everything in it, and you see what they read.

00:14Upload your documents

Start in your library. Choose Add document and pick all three files at once. PDFs work, and so do PowerPoint, Word, Excel and HTML files.

00:29Create a Room

Now group them. In HummingDeck, a set of documents behind one link is called a Room. In Rooms, choose New Room, name it for the deal, and pick the client's company.

Add the documents in the order your client should read them: the proposal, the price sheet, then the case study. Your client sees them in this order.

00:56Create and send a link for your client

Next, create a link for the person you're sending it to. Choose Create share link, then Contact, and add Sarah's name and email. Activity on this link is recorded as hers, so a separate link for each person shows you who opened what. Copy the link and paste it into your email. One link instead of three attachments.

01:23What your client sees

Sarah opens the room in her browser, with no account. She sees the room's name and who sent it. She opens each document on its own, reads it, and comes back for the next one.

01:37See which documents were opened

Back in HummingDeck, the room's Activity tab shows her visit: which documents she opened, for how long, and how far she read. Here, the proposal and the price sheet, but not the case study yet. Activity is recorded on Sarah's link, so if she forwards it, that activity shows up there too.

01:58More than documents: a plan, a video, a calendar

A Room can hold more than documents. Add a Next Steps tab with a simple plan for both sides, a Media tab with a video, and a Let's meet tab with your booking calendar. Your client gets one organized place for the deal, not a pile of attachments. Try it with your own documents using the link below.
