How to create a mutual action plan from a sales call

Turn agreed next steps into a shared plan with phases, owners, and due dates, then follow progress across your deals.

Before you start

  • You need a HummingDeck account, the next steps agreed on your call, and any documents your buyer needs. Uploaded documents can be up to 100 MB each.
  • Mutual action plans are included on every plan, with one plan per room. Free includes one active room, Starter three, Pro fifteen, and Business unlimited. Document and audience-link limits also vary by plan.
  • Buyers open the room from its link without a HummingDeck account. Enable recipient completion to let them tick off buyer-visible tasks owned by their side. The room's access mode determines whether completion records an anonymous, self-reported, or verified visitor.
  • The optional coding-agent workflow uses REST API access on Business. Your agent reads the call transcript and creates the plan through the API; HummingDeck does not process the transcript. Set Required tasks in the app.

Follow the steps

  1. Create the deal room

    Open Rooms, choose New room, and name it for the deal. Add the documents your buyer needs, such as the revised proposal, then create the room.

  2. Set the plan's title, date, and phases

    Open Next Steps. Give the action plan a title and a target go-live date, then add phases for the milestones agreed on your call. The example uses Evaluate, Decide, and Kick off.

  3. Add tasks with owners and due dates

    Add the agreed tasks to each phase. Assign each one to someone on your team, the client's company, or a named person. Set a due date or a number of days before go-live so each next step has an owner and a schedule.

  4. Set required and internal tasks

    In a task's expanded editor, use Required tasks when it depends on another task being completed first. Choose Internal for work only your team should see. Internal tasks and their progress stay within your workspace.

  5. Check plan settings and share the room

    In Plan settings, turn on Show due dates in the room and Let recipients tick off their tasks for the workflow shown. Copy the room link and send it to your buyer. Recipients can complete buyer-visible tasks owned by their side when completion is enabled; unfinished required tasks must be completed first.

  6. Follow progress and seller notifications

    Your buyer opens the room in their browser and ticks off their side's tasks beside the proposal. With seller notifications enabled, the room owner receives emails for buyer task completion, completed phases, and overdue tasks. Buyer task assignments and reminders stay in the room. Open Mutual Action Plans to review overdue, at-risk, and stalled deals across your workspace.

  7. Optionally build the plan with your coding agent

    With Business API access, give your coding agent the call transcript and ask it to extract the tasks, owners, and dates. The agent creates the room, phases, and tasks through the HummingDeck REST API. Review the result in the app and set any Required tasks there.

  8. Save the plan as a template

    Save a plan you want to reuse as a template, then apply it in the next deal room. Templates preserve the structure, relative dates, and valid team assignments. Add the new deal's buyer owners after applying it.

You get an email when your buyer completes a task, when a phase is complete, and when a task is overdue. Across all your deals, the Mutual Action Plans page shows what's overdue, at risk, or stalled.

If you work with a coding agent, skip the typing. Give it the call transcript and ask for a mutual action plan. The agent picks out the tasks, owners and dates, then creates the room and the plan through the HummingDeck API. HummingDeck doesn't read the transcript; your agent does. API access is on the Business plan.
