The real onboarding problem

Your customer sees a scavenger hunt.

Your team knows how the kickoff email, shared folder, training video, intake form, and project board fit together. A new customer does not. HummingDeck turns the same material into a guided, customer-facing path.

One onboarding Room

One current link, arranged in the order the customer needs it

Clear next step

A reusable starting point

Five tabs are enough for the first Room.

Start with only what the customer needs now. A Room with six clear items is easier to use than a portal with forty unsorted files.

Kickoff to first value

A simple customer onboarding portal, phase by phase.

HummingDeck is the participation layer. Keep resource planning, time tracking, billing, and detailed internal delivery in the systems your team already uses.

  1. Prepare the customer before kickoff

Share the agenda, expected outcome, team contacts, and any intake link before the first call.

  2. Publish one shared plan

Show the phases, customer-facing actions, owners, target dates, and dependencies that affect launch.

  3. Keep resources beside the work

Group the latest guides, decks, videos, links, and supporting files by the phase where they are needed.

  4. Answer questions in context

Keep each customer-facing question attached to the Room, resource, or action it concerns.

  5. Follow up from real engagement

Use document opens and page-level engagement to spot material that still needs attention.

Keep the detail in context

See the work the way your customer sees it.

The plan, the question, and the engagement signal stay close to the material they describe. Your team spends less time rebuilding context before every call.

Shared plan

Put the next action in front of both teams.

Publish customer-facing phases, owners, dates, and dependencies without exposing the detail of your internal project board.

A customer onboarding mutual action plan with phased tasks, owners, dates, progress, and a private internal task

Contextual Discussions

Keep the question beside the blocker.

On Pro and Business, discussions can sit on the Room, a resource, or an individual action-plan item.

Document engagement

Follow up on what still needs attention.

See opens and page-level engagement on supported plans. Use the signal to offer help, not to guess what the customer thinks.

Choose the right layer

More guidance than a folder. Less machinery than a full suite.

A good fit

SaaS implementation, agency kickoff, managed-service setup, partner enablement, training, and sales-to-success handoff for small and mid-market accounts.

Use a specialist instead

Choose an in-app onboarding platform for product tours. Choose a professional services system for utilization, time sheets, invoicing, or complex delivery automation.

One relationship, one current link

Continue after launch without starting over.

Move completed setup work out of the way, keep the resources the customer still uses, and add a Reviews tab for outcomes, recommendations, and the next shared plan.

The Room can support first-value confirmation, adoption reviews, expansion planning, and renewal preparation. HummingDeck does not manage contract dates, invoices, or automated renewal sequences.

Recipient access

Open for kickoff, controlled when the work gets sensitive.

Keep kickoff moving with an Open link. When security, procurement, or executive stakeholders join, create a separate link that asks for an email, verifies inbox access, or admits only approved customer contacts.

Access · Open

Start kickoff without an access gate

Share the Room as soon as kickoff is booked. Anyone with the link opens it immediately, with no account or email step.

  • Fastest path from invite to shared plan
  • A good fit for low-risk onboarding material
  • Viewer identity stays anonymous unless the link is personalized

Practical plans for one Room per customer

Start with the plan that supports the workflow.

Rooms are available on every plan. Pro and Business are the practical choices for a repeatable, customer-facing onboarding program.

Best for small onboarding teams

Pro

$25 / user / month

  • 15 Rooms and 15 documents per Room
  • Contextual Discussions and Restricted Access
  • Stakeholder map and 90-day analytics retention
Start a Pro trial

Best for a scaled customer program

Business

$40 / user / month

  • Unlimited Rooms and documents
  • Custom branding and a custom domain
  • Unlimited analytics retention
Start a Business trial

Starter can test a small workflow, but its limit of three Rooms and five documents per Room will not suit a growing one-Room-per-customer program. View the current pricing and full plan comparison. For adjacent workflows, compare the client portal or explore HummingDeck Rooms.

Customer onboarding questions

What small B2B teams ask first.

What is customer onboarding software?

Customer onboarding software helps a business guide a new customer from signed agreement to setup, training, launch, and first value. Products vary widely. HummingDeck provides the customer-facing portal layer for a high-touch onboarding process.

Can HummingDeck replace our project management tool?

HummingDeck can show the customer a shared action plan, but it is not a full internal project management or professional services system. Keep detailed delivery work in your existing tool and publish the customer-relevant milestones in the Room.

Can customers upload files or complete forms in the Room?

Embed or link to your existing form, intake, or file-request workflow from the Room. HummingDeck is designed to share and track materials. It is not a native form builder or structured file-request system.

Does the customer need a HummingDeck account?

Customers can open and use a shared Room without creating a HummingDeck account. You can ask for an email address, require inbox verification, or restrict access when stronger recipient control is needed.

Can we keep using the Room after onboarding?

Keep the same Room as the relationship moves into adoption and review. Replace completed setup material with results, recommendations, review decks, and the next shared plan.

Is HummingDeck suitable for sensitive onboarding information?

HummingDeck provides access modes, document download controls, link expiration, revocation, and activity tracking. Your legal, security, and compliance team should decide whether those controls meet the requirements of the information you plan to share.

One customer. One current link.

Make the next step obvious from day one.

Build the onboarding Room before kickoff, then keep the same link current as the customer reaches first value.
