Search for "document tracking software" and you will find two different product categories. One manages internal records, versions, and approvals. The other tells a sales team what happens after a prospect receives a proposal, deck, or spreadsheet.
This comparison is about the second category. The useful questions are whether the recipient opened the document, which pages held attention, whether another stakeholder joined, and how confident you can be that the activity came from a person rather than an email security scanner.
Choose the tool by the confidence and workflow you need, not by the cheapest price on its pricing page.

Document tracking software at a glance
The "useful price" is the first public tier that supports the workflow described, not always the vendor's entry price.
This table deliberately separates a named link, an email form, and verified access. A named link tells you who the link was created for. It does not prove who used it. An email form records what the viewer typed. Verified access confirms control of an allowed inbox, which provides stronger attribution without proving legal identity.
What sales document tracking means
Sales document tracking starts after the file is ready. Instead of attaching a PDF, PowerPoint deck, Word document, or spreadsheet to an email, you upload it to a platform and share a browser link.
Depending on the product and plan, that link can record opens, time by page, completion, return visits, clicks, downloads, new viewers, and device data. A prospect who returns to pricing needs a different follow-up from one who never opened the document. The data does not reveal intent: a long session can mean careful reading, an idle tab, or an interruption.
This is also different from document management software. A document management system organizes internal files, versions, records, approvals, and retention. The tools below measure external recipient engagement with sales content.
How we compared the tools
We evaluated eight factors that affect what a sales team can actually learn:
- Attribution: anonymous activity, a recipient-specific link, self-entered email, or verified email access.
- Analytics depth: opens, time per page, completion, return visits, and clicks.
- Scanner handling: whether the vendor explains how automated security visits are filtered, flagged, or reported.
- Access controls: downloads, expiration, revoke, passwords, allowlists, and watermarking.
- Workflow: standalone file tracking, proposal creation, CRM content, secure sharing, or a multi-document room.
- Formats: accepted files and whether interactive content stays interactive.
- Relevant price: the tier that includes the compared capability.
- Material limitation: the tradeoff most likely to change the buying decision.
An open is not always a human open
Microsoft Safe Links, Proofpoint, Mimecast, and other security systems inspect links before delivery. If a platform does not distinguish that traffic, an instant alert can describe a scanner rather than your prospect. Look for documented handling, then confirm interest with page progression, a return visit, a click, verified access, or a reply.
Eight document tracking tools reviewed
1. HummingDeck
Best for: Small and mid-market teams that create sales documents elsewhere and want focused engagement data plus a path into a shared deal workspace.
HummingDeck supports PDF, PPTX, DOCX, XLSX, interactive HTML and HTML bundles, plus Google Docs and Google Slides publishing. Free includes basic view tracking and real-time notifications for five documents. Starter costs $10/month and adds per-page analytics, engagement flow, clicks, location, download controls, link expiration, and 30-day retention. Pro costs $25 per user per month and adds email capture, verified restricted access, stakeholder analysis, and 90-day retention.
HummingDeck publicly documents scanner filtering based on user-agent patterns, data-center and IP signals, and confirmation after human interaction. Likely automated sessions stay out of user-facing analytics unless later interaction confirms a person.
The main limitation is authoring. HummingDeck is not a document editor, proposal builder, or legally binding e-signature platform. Create the content in PowerPoint, Google Slides, Word, Canva, or another tool, then use HummingDeck to share and track it.

2. DocSend
Best for: Fundraising, investor updates, media sales, and teams that want a mature secure-sharing product.
DocSend's pricing page exposed different public plan variants during our July 16 check. One listed Personal at $10 per user per month and Standard at $45 with monthly billing selected. Another began with Standard at $30 per user per month on annual billing and did not show Personal. Advanced was $150 per month for three users in both. Confirm the lineup shown at checkout.
Activity and Performance cover individual and aggregate visits, per-page time, top pages, drop-off, and repeat visits. Visitor-specific links are not proof of identity. Email authentication, allow/block lists, watermarking, NDA gates, and folder security start on Advanced at $150 per month for three users.
DocSend flags data-center-origin visits as atypical. They can come from scanners, bots, scrapers, or VPNs and remain visible in Recent Activity. Advanced is the relevant comparison when access assurance matters.
3. Papermark
Best for: Teams that want free page-level tracking, transparent source code, or a lower-cost route to verified sharing.
Papermark Free includes 50 documents, 50 links, unlimited visitors, and page analytics limited to 20 recent views and 30 days of retention. Pro raises that to 1,000 recent views and one year of retention, and adds geographic, device, and browser detail.
Links can require email or a password and control expiration and downloads. Business costs €59 per month with yearly billing for three users and adds verified email, allow/block lists, screenshot protection, webhooks, and a custom document domain. Papermark also publishes its source code.
Papermark's blog describes optional AI-agent blocking, but the reviewed help and pricing pages do not establish plan availability or explain how corporate email security scanners are treated in engagement analytics. Test a real send through your prospects' corporate email systems before treating every alert as human activity.
4. Digify
Best for: Confidential documents, due diligence, and teams that value access control as much as sales analytics.
Digify Pro costs $140 per month with monthly billing and combines page analytics with document security, three data rooms, NDA or terms gates, groups, and folder permissions. Team costs $350 per month and adds dynamic watermarking, Screen Shield, persistent protection after download, file-level permissions, and Q&A.
Single-file sends support ungated, recipient-specific, email-only, and verified-email modes. Digify says "anyone with the link" access does not provide recipient analytics. The cost and permissions setup make sense when access, watermarking, and diligence controls matter as much as follow-up data, not when you only need to know whether a prospect read a deck.
5. Sizle
Best for: Individuals and small teams that want document analytics inside a simple deal-room workflow.
Sizle's pricing page lists Starter at $20 per month with yearly billing for one deal room, page and time signals, link analytics, and access controls. Pro is $55 per month with yearly billing and adds email lead capture, fuller viewer signals, approvals, e-signatures, and expiring links.
Sizle sits between a tracker and a proposal room. Its page does not define identity verification or scanner handling, so treat Starter as link activity rather than verified identity. The monthly Pro price is inconsistent across sections of the page, which is why we use only its annual price and recommend confirming checkout.
6. PandaDoc
Best for: Sales teams that need to create, price, approve, track, and legally sign proposals in one product.
PandaDoc covers the full document lifecycle: templates, pricing tables, approvals, tracking, and e-signature. Business costs $49 per user per month annually, or $65 monthly. Its live plan table and analytics guide place views, total time, link clicks, and time by page on Business and Enterprise.
Recipient activity uses unique recipient links. Identity verification is a separate Business or Enterprise capability, not an automatic property of every recipient link.

7. HubSpot Documents
Best for: Teams already working in HubSpot that value CRM context more than page-level detail.
HubSpot Documents creates shareable file links. Free tools support the first five account documents; using more requires an eligible assigned seat.
Tracking can notify the sender when a contact views, and an optional email gate identifies viewers. A separate Sales Hub Starter+ report covers views, unique visitors, shares, and average viewing time, but not time per page. HubSpot warns that document links are public, so this is convenient CRM engagement tracking, not confidential sharing.
8. Adobe Acrobat
Best for: Someone already using Acrobat who only needs a basic activity check on a shared PDF.
Adobe's shared-document activity sends view notifications and shows sharing recipients, the number of people who viewed, and latest activity. Public links can produce anonymous views.
Adobe does not document per-page time, completion, sales analytics, or a minimum paid plan for these activity fields. Which type should you choose?
Choose a standalone tracker when the file already exists
HummingDeck, DocSend, and Papermark fit teams that build content elsewhere and need a better send-and-measure workflow. Compare page depth, scanner handling, identity modes, room needs, and the price of verified access.
Choose a proposal platform when the file does not exist yet
PandaDoc fits when reps need templates, pricing tables, approvals, and signatures. Sizle covers a lighter room workflow. Do not pay for authoring if your team already produces finished files.
Choose CRM convenience when aggregate data is enough
HubSpot is practical when CRM context matters more than time by page or confidential sharing.
Choose security-first sharing for sensitive material
Digify and DocSend Advanced fit workflows where verified access, allowlists, watermarks, and room controls are central.
Use Acrobat for a basic PDF view check
Adobe adds little workflow change. Move to a tracker for page engagement, stronger attribution, or a buyer workspace.
A practical tracking workflow
- Upload the final document. Use the version you are ready to discuss. If the platform supports in-place updates, future changes will not require a new URL.
- Create a link for each recipient. A generic link mixes viewers into one activity record. Recipient-specific links keep histories separate, even though they do not prove identity.
- Match access to sensitivity. Use an open link for low-risk outreach, an email gate for a shared resource, and verified access for confidential material.
- Send the link instead of an attachment. The file stays current, and you can expire or revoke access where supported.
- Follow up on the topic, not the surveillance. "I can clarify the pricing options" is better than "I saw you spent 47 seconds on page 12."

When a Room is better than a link
A tracked link answers questions about one file. A Room is better when the buyer needs several assets, a shared plan, and context around the next step. It gives a proposal, pricing, security material, and case studies one stable link.
