6 Papermark Alternatives for Document Tracking and Data Rooms

Papermark already covers a lot: free document tracking, paid multi-file sharing and more controlled data rooms. The right alternative depends on what you need to change. Keeping a Google Drive folder in sync solves a different problem from giving a buyer next steps or collecting a signed NDA before diligence.

These six alternatives cover those jobs. Start with the workflow and the plan that supports it, then compare the bill for your actual team. If you only need free page tracking for a deck, Papermark already offers a strong starting point.

Our document tracking software comparison covers the broader category. For the two-product decision, see HummingDeck versus Papermark.

When Papermark still fits

Papermark Free includes 50 documents, 50 links and page-time analytics, plus passwords, expiration, email capture and download controls. Available history is the latest 20 view records within 30 days. A deck sender who fits those limits has little reason to pay solely because an alternatives article exists.

Business costs $90/month or $828/year with three users included. It supports light rooms, verified email access and HTML. Dedicated Data Rooms costs $179/month or $1,428/year with three users and adds granular file permissions, watermarks, agreement gates and room analytics. Plus adds permissioned Q&A, visitor audit logs and file requests.

Keep Papermark in the evaluation if you need its signed PDF agreements, nested room organization or diligence request lists. Its format guide also documents native audio/video, Notion sharing and advanced spreadsheet options. These requirements deserve more attention than an entry-price comparison.

Six alternatives to consider

HummingDeck: tracked files and lightweight data rooms

HummingDeck fits founders and small teams that prepare their files elsewhere. Share a finished document or organize a pitch deck, financial model and company documents in a lightweight investor data room. Group the files into sections and create a separate Restricted link for each fund to keep access and recorded activity tied to that audience.

Starter costs $10/month or $96/year for one user. It includes per-page analytics, 30-day history and three Rooms with five documents each. Pro costs $25/user/month or $240/user/year and adds team analytics, verified Room access and link-scoped Discussions for investor questions. Pro has 15 documents per Room and 90-day analytics history; a 50-file Room needs Business.

For interactive deliverables, standalone HTML works on Free and previewable HTML ZIP bundles start on Starter. Papermark documents single HTML on Business and ZIP as download-only delivery. Peony also supports live single HTML on Free, so this distinction is about the file and tier you need.

HummingDeck's Room verification establishes inbox access, and link-scoped Discussions keep each audience's questions with its files. For signed NDAs, watermarks or file-by-file permission groups, compare the dedicated data-room tiers in this shortlist.

DocSend: document engagement with optional signing

DocSend combines page-level viewing activity with signing and a path into Spaces. Personal costs $15/user/month or $120/user/year and supports several paid users. It includes four signable-link credits per paid user each month, pooled across the company.

Standard adds basic multi-file Spaces at $65/user/month or $540/user/year. For email authentication, price Advanced: $250/month or $1,800/year including three users. Dedicated room analytics and audit features require Advanced Data Rooms.

Personal is a legitimate lower-cost choice for several sellers tracking individual files, but it excludes Spaces and team-wide reporting. Avoid paying for Advanced merely because you need a basic Space. Our DocSend alternatives comparison explores that separate decision.

Peony: hosted rooms with signed NDAs

Peony offers individual document analytics and a progression into controlled rooms. Its Business plan includes verified email, ongoing rooms and basic NDA acknowledgement at $44/admin/month or $360/admin/year. Data Room adds signed NDA copies, dynamic watermarks, granular permissions, custom domains and basic Q&A at $75/admin/month or $624/admin/year.

The Free plan includes 50 documents and page analytics, but its shareable demo Room expires after three days. Budget per administrator for ongoing rooms; these prices are not a flat team fee. Deal Team has a four-admin minimum.

Peony also documents live HTML with JavaScript on every plan. Its current security wording says audits are underway, so request the evidence your procurement process needs rather than treating audit readiness as completed certification.

Digify: document controls and protected downloads

Digify pairs page analytics with document security and controlled rooms. Its published plan prices put Pro at $190/month or $1,680/year, including one user, three rooms and 50 room guests. Team costs $500/month or $4,200/year with three users, adding watermarking, Screen Shield, file permissions and room Q&A.

Team is not mandatory for every three-user job. The add-on guide lists extra users at $25/month, making Pro with three users $240/month before other extras. Pro also offers selected security add-ons; check guest and room quotas alongside them.

Digify's Protection After Download uses protected .ppad files opened in the PPAD Viewer, and the feature is labeled Preview. Test that protected-file workflow if you need control after downloading; ordinary downloaded originals remain outside it.

Orangedox: keep a Drive or Dropbox folder in sync

Orangedox suits a team that wants its shared room to follow the files already stored in Google Drive or Dropbox. Its room setup guide documents linking the source folder, including subfolders, with changes reflected in the room. Page activity then belongs to sharing through Orangedox; an old native Drive link cannot acquire tracking retroactively.

Starter is $75/month or $660/year for one admin, five rooms and 15 participants per room. Business is $95/month or $780/year for two admins and adds NDA gating and branding. Dynamic watermarks require Teams at $195/month or $1,620/year for five admins.

Three administrators therefore need the advertised five-admin package. Choose Orangedox when you want rooms connected to your existing storage. Its listed HTML support is a text preview; test your actual file if you need visitors to use an interactive HTML page.

Onehub: structured file workspaces

Onehub offers client workspaces with file, folder and workspace roles. It suits a team organizing access around a file structure and activity audit rather than selecting primarily for page-reading reports.

Standard is $15/user/month or $150/user/year, with a three-paid-user minimum: $45/month or $450/year even for one required user. Data Room Edition costs $375/month or $3,600/year including five. Paid-role definitions matter because some external collaborators count toward billing.

The Data Room guide describes NDA gates, watermarks, indexing and granular roles. Data Room mode disables Tasks and Commenting, so choose the mode that fits your workflow. Onehub's activity audit helps you review file actions. If page-by-page viewing time drives your follow-up, confirm the available reporting before choosing.

Compare the plan your team needs

Free deck tracking

Papermark and Peony both document 50-document free entries with page analytics. HummingDeck Free provides five documents, basic current viewing activity and one three-document Room; per-page analytics start on Starter. DocSend has a Limited Trial fallback, with only two visible visits per document and disabled premium links after downgrade. These are materially different free offers.

Three sellers, ten files and verified Room access

For this job, HummingDeck Pro costs $75/month or $720/year; Papermark Business costs $90/month or $828/year; Peony Business costs $132/month or $1,080/year. These totals follow their HummingDeck, Papermark and Peony prices.

HummingDeck Pro's 15-file Room cap accommodates the example, but its 90-day analytics history differs from Papermark Business's published two-year retention. Peony Business includes basic NDA acknowledgement. Compare those access and collaboration features alongside the price. For formal diligence, evaluate agreement gates, watermarks and file permissions on a dedicated data-room plan.

Signed NDA and dynamic watermark

Papermark Data Rooms is $1,428/year including three users. Peony Data Room costs $624/admin/year, so three administrators pay $1,872/year. Digify and Orangedox have their own tier and add-on gates. Use the secure document sharing comparison for those controls, and a specialist data-room evaluation for a formal transaction. HummingDeck's buyer Room and workflow responses serve a different requirement.

Free and self-hosted requirements

Separate a free hosted account from control over the deployment. Papermark's repository license applies AGPL to core code, while Enterprise directories have commercial terms.

Its self-hosting guide distinguishes personal deployment, commercial deployment and a hosted app using customer-owned storage. The guide and enterprise offer advertise different starting prices, so confirm scope and terms directly. HummingDeck is hosted; a managed subscription does not satisfy a self-hosting requirement. Independently operated deployments also need their own operations and security review.

Switch the active sharing workflow

Start with one file you currently share before rebuilding your library:

  1. Keep the original and export any Papermark activity records you need. Historical analytics, signatures and existing vendor URLs stay with the original service.
  2. Upload the file to HummingDeck. Choose Starter or above for per-page analytics and retained history; Starter keeps 30 days. For an investor Room with verified access and Discussions, choose Pro and create a Restricted link for each fund.
  3. Open the new link in a separate browser session as an approved recipient. Check that the file renders correctly and browse several pages. For a Room, also check its document sections and Discussions.
  4. Return to the document's Analytics to review the recorded visit and time per page. For a Room, open Activity to check the visit and documents opened. Recorded time helps you plan a follow-up; ask the investor directly about their interest and next steps.
  5. Once the file and access checks pass, send the new links. Keep old links available for your chosen transition period, then move the remaining files.

The investor data room walkthrough covers the Pro setup, and the detailed HummingDeck comparison helps you choose the plan for the move. Inbox verification confirms access to an approved email account.
